Privacy Policy

How Matrix Rehab collects, uses and protects your personal information, in accordance with British Columbia's Personal Information Protection Act (PIPA).

Your trust matters to us. This policy explains, in plain language, what information we collect, why we collect it, and the choices you have. Effective date: July 2026.

What we collect

  • Contact details — your name, phone, email and address, to manage appointments and communicate with you.
  • Health information — the history, symptoms and assessment findings your care requires. Collected by your treating practitioner and held in your clinical record.
  • Insurance and claim details — plan numbers, and ICBC or WorkSafeBC claim numbers, used only to arrange direct billing and required reporting.
  • Job applications — information you submit through our careers form, used only for recruitment.

Why we collect it

We collect personal information to provide safe, effective care; to bill insurers, ICBC and WorkSafeBC on your behalf; to communicate about appointments; and to meet the record-keeping obligations of our practitioners' regulatory colleges. We do not sell your information, and we do not use your health information for marketing.

How it's stored

Clinical records and bookings are managed in Jane, a Canadian practice-management system, with access limited to clinic staff and your treating practitioners. Records are retained for the periods required by BC's health-profession regulations, then securely destroyed.

When we share it

Only with your consent or as the law requires: with your insurer, ICBC or WorkSafeBC to process your claim; with other health professionals involved in your care when you ask us to; or where disclosure is legally mandated. Nothing else.

Your rights

You may request access to your personal information, ask us to correct it, or withdraw consent for uses that aren't legally required. Withdrawing consent for insurer communication may affect direct billing — we'll explain your options if that comes up.
